Job Summary:
The Dispatcher is responsible for receiving and relaying requests, scheduling appointments, tracking shipments, and ensuring timely delivery of services. The ideal candidate will be highly organized, detail-oriented, and possess excellent communication skills to handle logistics and troubleshooting in a fast-paced environment.
Key Responsibilities:
- Route Coordination:
- Plan and schedule the most efficient routes for vehicles or personnel.
- Monitor the movement of drivers and vehicles to ensure they are on track and on time.
- Communication:
- Serve as a point of contact for drivers, clients, or customers.
- Relay instructions, updates, and changes to drivers, and ensure that all parties are informed of any modifications to schedules or routes.
- Problem-Solving:
- Handle emergency situations, such as vehicle breakdowns or route disruptions, and ensure alternative arrangements are made quickly.
- Address customer concerns and provide timely solutions.
- Record Keeping:
- Maintain accurate records of routes, schedules, and other logistics data.
- Prepare reports related to service performance, vehicle utilization, and operational efficiency.
- Safety and Compliance:
- Ensure that vehicles and drivers comply with safety regulations and company policies.
- Ensure that all necessary paperwork is completed and submitted as per legal and regulatory standards.
- Customer Service:
- Answering phone calls and assisting customers in a timely manner
- Ensure a high level of customer satisfaction by ensuring timely deliveries and addressing customer inquiries and issues.
- Provide support and information to customers regarding status updates, delays, or changes.
- Technology Use:
- Use dispatch software or systems to track and monitor shipments or service requests.
- Input data, update schedules, and communicate with vehicles in real-time using available technology.
- Collaboration:
- Work closely with team members, such as drivers, logistics managers, and customer service representatives, to ensure the smooth flow of operations.
Skills and Qualifications:
- Strong communication skills (verbal and written).
- Excellent organizational and time management skills.
- Ability to work in a fast-paced environment and handle multiple tasks simultaneously.
- Proficiency in using dispatch software and other relevant technology.
- Ability to solve problems quickly and effectively.
- Basic knowledge of transportation regulations and safety standards.
- High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).
- Previous experience in dispatch, customer service, or logistics is a plus.
Working Conditions:
- May be required to work evenings, weekends, or holidays, depending on the industry and schedule.
- Based in an office environment
May involve working in shifts or on-call duties.
Job Requirements
- Proficient in operating computers and Windows programs.
- Able to operate multi-line phones.
- Customer service experience preferred.
